Privacy Policy

How Guri handles personal data for organizations, tenants, admins, billing, support, and platform security.

This Privacy Policy explains how Guri collects, uses, stores, shares, and protects personal data when people use the website, organization app, tenant portal, and HQ console. It is written with Kenya's Data Protection Act, 2019 in mind.

1. Personal data we collect

We may collect names, email addresses, phone numbers, organization names, business registration details, tax PINs, billing details, property information, unit information, tenant records, lease details, invoices, payment records, bank reconciliation data, documents, messages, support requests, login activity, device information, IP addresses, browser details, and usage data.

For tenants, organizations may also record identification, KYC details, lease records, rent records, invoices, payment history, deposit and refund records, arrears, and communication records where needed for property management.

2. How we use personal data

We use personal data to create and manage accounts, provide the platform, manage leases and tenants, generate invoices and reports, reconcile payments, process subscriptions, send service notifications, prevent fraud, secure the platform, provide support, improve our services, and comply with legal obligations.

3. Organizations and tenants

When an organization uploads tenant, lease, property, invoice, or payment data, that organization is responsible for having a lawful basis to use that data and for explaining its own tenant-facing purposes where required. Guri processes that data to provide the platform and related support.

4. Legal basis

Depending on the context, we may process personal data because it is needed to provide the service, because a user or organization has consented, because there is a legitimate business or security reason, or because the law requires it.

5. Data sharing

We may share data with payment processors, banks, messaging providers, email providers, hosting providers, analytics tools, professional advisers, regulators, or law enforcement where needed to provide the service, protect the platform, support users, or comply with law.

6. Data security and retention

We use reasonable technical and organizational safeguards such as role-based access, secure sessions, audit records, backups, and access controls. We keep data only for as long as needed for the service, legal, accounting, dispute, security, and legitimate operational purposes.

7. Your rights

Subject to Kenyan law, you may request access to your personal data, correction of inaccurate data, deletion where applicable, restriction or objection to processing, and information about how your data is used. Some records may need to be kept for legal, accounting, tenancy, dispute, fraud prevention, or security reasons.

8. International processing

Some service providers may store or process data outside Kenya. Where that happens, we use appropriate safeguards and only share what is needed for the service.
